At Elaborate Landscape Management, we prioritize receiving payments for the products or services we provide in a timely manner. To ensure transparency and provide clear guidelines, we have established the following Late Payment, Collections, and Payment Processing Policy for our valued Commercial and Residential clients:
Commercial & HOA – Late Payment:
- Commercial clients are expected to make payments within the agreed-upon terms outlined in the contract or agreement.
- If payment is not received within 30 days of the invoice date, a 5% late charge will be applied.
- After 30 days, the late fee will compound, adding an additional 5% to the total balance.
- This compounding late fee pattern will continue every 30 days until the outstanding balance is settled.
Commercial & HOA – Collections:
- If payment is not received within 120 days of the invoice date or if there is a refusal to pay the outstanding fees, we reserve the right to initiate collections proceedings.
- At this point, all associated fees, including late fees and any additional costs incurred during the collections process, will be the responsibility of the client.
Residential – Late Payment Policy:
- Residential clients are required to make payment immediately upon invoice or upon completion of the work, whichever comes first.
- If payment is not received within 24 hours, late fees will commence with a 5% charge.
- After 30 days from the original invoice due date, the late fee will compound, adding another 5% to the total balance.
- This compounding late fee pattern will repeat every 30 days until the outstanding balance is settled.
Residential – Collections:
- If payment is not received within 60 days of the invoice date, we reserve the right to initiate collections proceedings.
- At this stage, all associated fees, including late fees and any additional costs incurred during the collections process, will be the responsibility of the client.
All Clients – Payment Processing:
- In the event of a bounced check or any bank fees incurred as a result of receiving payment from ANY client, the associated fees will be the responsibility of the client.
- To avoid any complications or fees, we recommend ensuring that sufficient funds are available in the designated account before issuing payment.
NOTE: If you choose to mail a check for any outstanding invoice(s), please be aware that if the check arrives after the due date, late fees will still be applied and must be paid in full. We kindly request that you anticipate any potential delays in mail delivery and add any applicable late fees to the invoice amount when submitting payment.
We understand that unforeseen circumstances may lead to payment delays. If you encounter any issues or require alternative payment arrangements, please contact our billing department promptly to find a suitable resolution.
Additional Statements:
Please note that initiating collections proceedings is considered a last resort, and we always strive to resolve payment matters directly with our clients. Our aim is to foster open communication and seek mutually beneficial solutions to avoid this step.
Any waiver of late fees, associated fees, or charges can only be approved by the management of Elaborate Landscape Management. Such waivers are subject to review and will be granted on a case-by-case basis. Management reserves the right to exercise discretion in determining whether to approve or deny fee waivers. Requests for fee waivers should be submitted in writing to the billing department for consideration.
Please be aware that failure to settle an outstanding balance in a late payment status may result in the cessation of services. Elaborate Landscape Management reserves the right to temporarily suspend or withhold services until payment is made and the account is brought up to date. This includes but is not limited to scheduled maintenance, installations, and ongoing projects.
We sincerely appreciate your cooperation in adhering to our Late Payment, Collections, and Payment Processing Policy. Timely payments not only ensure the smooth continuation of our business operations but also enable us to maintain the high standards of products and services we deliver to you, our valued clients.
